MINUTES OF THE 37TH ANNUAL GENERAL MEETING HELD ON MARCH 27th 2017 AT THE MEDWAY PARK.
Present: Len Locke, Dinesh Bansal, Jim Leconte, Mick Jones, Hamish Sutherland, Rob Else, Glen Appleby, James Norgate.
No apologies were received from Danielle Smith, Mark Smith or Paul Wilson. Lance Mepsted requested that he does not attend meetings due to workload.
2016 Minutes – Had previously been e mailed to everyone and were agreed. Junior side may be started again this year due to the numbers now attending Friday nights. Ladies are continuing to play an amalgamated team with Cascades. It was noted that the courts are less booked now. Len has dropped doing his rankings as Paul Wilson’s rankings now prevail. Gordon is running a pyramid and teaches 600 kids a year. Racketball skills are to be taught in April, squash, tennis, etc. Goody bags, leaflets, etc needed.
Temporary Chairmans Report – Tony Tuck-Brown gave up the Chairmans position 3 months after he took up the position. He had some very good ideas, some have been put into operation. He didn’t anticipate the time it took members and committee members to carry out his wishes and found it very frustrating so decided to resign. Dinesh had managed to get Tony Leppenwell to sponsor the Club. The Club still has a very large membership base although the social side of the Club is still not moving. With regards the Kent league sides there were 4 teams last Summer and 3 this Winter. Third team are struggling to get players at times. All 3 teams are in the middle of their respective divisions. There is a cup match at Thanet this Friday which he hoped would be attended by Club Members. There have been a number of injuries to Kent league players which have knocked the strength of the teams. Mark Smith was thanked for doing the League Secretarys job as were all the other Committee Members including Sany Huttler who had set up the website but had also resigned his position with Lance Mepsted taking up the mantle. Len hoped that Jamie Norgate’s ideas would be considered. Parents commitment is needed in ferrying kids around. Food from the cafe should be considered. Len said that it had been pleasurable being Chairman again and advised that he would be in hospital on the 19th April for the first of his cataract operations.
Treasurers Report – 2016 – 17 had been a good year due to good attendances at Club nights. Timers had been introduced to stop people playing long matches on court at club nights. Tony Leppenwells company had sponsored the Club by £500 which went to help purchase the shirts last year. Coaches have been being paid. Jamie Norgate had had half of his Level 1 fee paid by the Club. Coaches have had hoodies purchased for them to advertise themselves. Shirts are being made available to juniors. At this point Rob Else questioned the transparency of all of this. Glen stated that he wanted to push for more people to play Kent league. It was pointed out that the registered players include at least one person who is not a members of the club and the 3rd team list has something like 20 -30 listed most of which have either not played at all with others having only played once. It was stated again that some players will only play the home fixtures which was responded to by the question of why those people have not been dropped from the list to make way for people who will play home and away. It was concluded that not enough people are being used. Dinesh made the point that even free coaching was not being taken up.
Membership Fees – This had been discussed and agreed at a previous Committee meeting so was ratified now. It was further agreed that honorary membership would be start at the age of 75 from this year. Only Members who paid their subs by the 30th April would be eligible to play in the Club championship.
Election of Committee – The following were elected to the Committee.
Chairman – Rob Else
Treasurer – Dinesh Bansal
Club Secretary – Mick Jones
League Secretary – Mark Smith to be contacted. Subsequent to AGM Mark Smith asked to stand down as League Secretary so it was agreed that Mick Jones would take on the position until someone suitable was found to take it on.
Competitions Secretary – Jim Leconte
Newsletter Secretary – Paul Wilson
Website Officer – Lance Mepsted
Social Secretary – Danielle Smith
Kent League Secretary/Organiser – Len Locke
Membership Co-ordinator – Len Locke
Handing Over to New Chairman – At this point the position of Chairman was officially handed over to Rob Else.
Auditor – It was agreed that as in years long gone by the Clubs accounts need to be audited by a chartered accountant. Rob would look into this.
Any Other Business – There would be no shirts this year. Hoodies may be considered. The rackets festival would be attended by Gordon Smith and James Norgate.
The next meeting would be on the 26th June 2017.
